Sample Request: Employee's Initial Hire Date Into A Class

The report below identifies the first date an active employee was appointed to your campus and the earliest appointment date to any faculty, staff or management classification(s) held at your campus. Only a portion of the actual report is shown below.  The complete report request is available in the CIRS common library as FOC6004.

The Transaction Data (TR) file is used for this report because it contains all transactions back to 1976 for faculty, staff and management position sequences (active or separated) at your campus.  Multiple verbs are used, along with the prefix operator MIN., to identify an employee's minimum (earliest) appointment date overall, and the earliest appointment date for each classification held at your campus. Data will only be displayed for employees whose current overall status at the campus is active.  Note:  For systemwide users of the TR file, this report will only display data for employees whose current overall status throughout the CSU is active.

Additional information:

  • When multiple verbs are used, any sort(s) used with the first verb (BY TR:WNAME, BY TR:SSA)  must be repeated by subsequent verbs. Additional sort fields can be added to subsequent verbs (BY TR:CLASS) in the report request.  For additional information, refer to the Advanced CIRS Reporting workbook, or your FOCUS Documentation.

  • The field Employee Status (TR:STATUS) is located at the SSN level of the TR file, so the value for that field refers to an employee's overall status (active or separated) at your campus.  For example, if an employee has two position sequences and one is separated, and the other is active, then the employee's overall status is active.  

  • Employees may be currently active or separated in classifications displayed on the report.

  • For those employees whose earliest transaction code is COA, the hire date at your campus will reflect their conversion to the EHDB in January 1976, not their earliest appointment.

  • The SSN is required in this report to ensure the data is accurately retrieved for each employee.  However, the NOPRINT command is used to suppress the display of the field in the report output.

  • To generate a hold file for downloading, eliminate the comment at the beginning of the line ON TABLE HOLD AS PERMLRG FORMAT LOTUS.
