Reconstructing Employment History

Reconstructing Employment History is the manual process used to determine the effect of an out-of-sequence transaction on all subsequent transactions. Whether the out-of-sequence transaction is a correction, void or the addition of a new record, it may have new, changed or deleted items that need to be reflected (carried forward) in subsequent transactions.

 

Using the Employee History/Synopsis screen, begin with the transaction immediately following the out-of-sequence transaction (Note: When voiding a transaction, begin reconstructing employment history with the transaction effective immediately prior to the void).  Review each subsequent transaction and related data items to determine if they are still accurate (data that was reflected and data that should be reflected as a result of the new information). Include those added by mass updates (e.g. MSA and GEN) because the system does not automatically adjust those transactions. If each of the succeeding transactions and items are correct, no further action is necessary.

 

If any of the succeeding transactions/items are no longer valid or require changes, it may be necessary to view or obtain copies of History Detail screens. To carry forward new information, prepare a PIMS transaction for each subsequent action that requires adjustment. Refer to Out-of-Sequence Processing.

 

Note: Two or more transactions may have the same effective date and they will print/display in the order in which they were processed. Example: 120 effective 07/01/97 processed 12/01/97 will print/display on top of a GEN effective 07/01/97 processed 08/15/97. When one of the two is the current status record (first/top line of history) and the second one needs to be corrected or voided, the correct/void must be processed as an out-of-sequence transaction.
