Distribution to campuses by checks

A check has been mailed to each campus to fund the FY03 period of April 2004 through June 2004 with the details on AD NOAT 04-101.

The check is referenced as “LOTTERY SMIF FY03 4TH QTR.” Campuses are requested to record these disbursements in their local 0948 Trust Accounts in FY 2004/2005 as follows:

IMPORTANT NOTE REGARDING HOW TO BOOK CASH:

• 101002 – Agency Trust Fund Cash wherein campuses deposit money into the State General Checking Account without remitting to the State Treasury (Some PeopleSoft campuses may be using 101001 because of the way their system works).
• 101006 –Cash in Agency Accounts-Banks/S&L wherein campuses deposit money into their own local bank account (outside the State Treasury)
• 305022 – Fund Balance Clearing wherein campuses deposit money into the State General Checking Account through their local bank and remit to the State Treasury i.e. SMIF)

FOR GAAP REPORTING, PLEASE ACCRUE THE INTEREST IN FY 2003/2004 AS DIRECTED IN CHAPTER 4, PAGE 4-50 TO 4-51 OF THE GAAP MANUAL.
