Guidelines for Lending Materials

Referral from COLD/Task Force on Cooperative Collection Development & Management

Processing Requests

  • CSU campuses will consider other CSU campus requests as a top priority when resource sharing.
  • Each request will be answered with a "yes", "no" or "conditional" within 24 hours whenever possible.
  • Always update before shipping.
  • Always send an article or chapter unless otherwise specified, if not too lengthy.
  • RUSH requests will be handled within 24 hours.

Transmission of Articles/Copies

  • Always try to use Electronic Document Delivery when possible.
  • Include Patron Name and ILL# on the cover sheet of every transmission.
  • Send only one article per Ariel transmission.
  • Always copy/scan or check article for completeness before updating to shipped/yes.
  • During Ariel equipment failures faxing documents may be used as an alternative. Place any articles that need to be shipped through TRICOR in an envelope.

Sending/Packing of Books

  • Books need to be rubber banded before being placed in TRICOR bags.
  • In rainy weather books need to be placed in plastic bags before being placed in TRICOR bags/bins.
  • When packing TRICOR try to place books spine to spine.
  • Double check TRICOR labels for correct library/correct tag/correct account number.
  • Bags, bins and TRICOR labels should only be used between the two libraries exchanging materials.
  • When sending media items (microfilm, maps, videos or cd's) the items should be wrapped or boxed appropriately to avoid damage.
  • Be sure to include paperwork.

Problem Reports

  • Using a Problem Report form is suggested. This can be incorporated onto a Lending Paging Slip or as a separate document. "Not Received's" may be addressed by using this template form.

Overdues

  • Overdue notices should be sent out to Borrowing Institutions as a reminder.
  • A Lender can send a recall notice in print or electronically.
  • Before blocking another CSU a courtesy call should be made.

Lost Book Replacement Policy

  • When a book is lost, the Borrowing Library will notify the Lender.
  • As decided by COLD there will be no exchange of money, however if there is an egregious offender COLD can speak with the problem library's Director in order to address the problem.
  • A replacement copy may be accepted if permissible by Lender.

Odyssey

  • The ultimate goal is to have all CSU libraries use Odyssey.
