Kathleen reviewed the ICS RSS Pilot Evaluation-Final and ICS RSS Pilot Enhancement List that she sent all participants prior to this call. Everyone was in agreement that although the requirements work, some tweaking is still necessary. The evaluation helped us say what works contractually but we don’t like the way it works. There are more problems in borrowing than in lending.

 

In the next two weeks we will be working on our report for the Management Team. This report should be carefully written. We discussed setting up an Expectations Working Group. This group would come up with a list of expectations that we have for the RSS. Kathleen wants to meet with John Bodfish at the Chancellor’s Office to show him what the problems are. Kathleen has been working with Dave Slocum on 13 of the 17 statistical reports. She, Marvin and Gail will continue to work on the reports.

Marvin thanked Kathleen and all members of the Task Force for the work they have put into the pilot. It has been very helpful for him to see everyone’s comments.

 

Marvin discussed the thirteen statistical reports he received on May 9 & 10. There were some obvious changes that were needed and Epixtech is working on those. Four reports were not listed because changes need to be made to the database and workstations. The changes should be completed this week. Data for collection development, cancellation, main borrowing and main lending reports will come from the pilot records.

Marvin categorized the pilot problems into six groups:

  1. Configuration changes
  2. Enhancement suggestions
  3. Bugs
  4. Training/user question
  5. Local PC problem
  6. ISO Protocol server being offline
During the four-week pilot, we had 46 configuration problems, 22 training/user questions, 20 enhancements, 7 ISO Protocol servers being offline, 4 bugs and 1 local PC problem. The number of problems got smaller each week. If we had received better training and better initial configuration, the number of problems would have been fewer. Epixtech is aware of the bug and working to fix it.They know they still have work to do and want to know what is most important to us.We need to find a way to use the problem report and the evaluation to come up with a rationale to move forward. It will be necessary to reprioritize things.
After much discussion, it was decided that Jo Ann, Lore and Pat would begin working on an ideal workflow report. This report will indicate what the deficiencies are and what needs to be done to remedy them. A draft of the report will be out by May 18. A final report should be ready the following week.
Deborah and Marvin will continue to work on the problem report.
